Exhibitor Dashboard

In order to access the Exhibitor Dashboard, you are required to apply for booth space. Once your booth application is submitted you will receive a username and password to access your account.

In the Exhibitor Dashboard you will be able to update your company contact information, company description, product categories and payments at any time. This is the information that will show in your online booth profile. The Affiliate Function Space Application, Housing Reservations, link to Register your Staff Badges and Expresso (Exhibitor Service Kit powered by GES) will also be located in your Exhibitor Dashboard when those items are available.

**NOTE:  The Grand Hyatt, Marriott Marquis & Renaissance do not have meeting space available on Thursday, April 12 or Friday, April 13.  

ASCRS•ASOA does not endorse or sanction any affiliated function. Use of the ASCRS•ASOA names or logos in conjunction with these events is strictly prohibited.

All audiovisual, food and beverage, photography, electrical and telecom will be arranged through the hotel/venue assigned and company. All associated costs for the function will be billed directly to the requesting company by the vendor/facility.

ASCRS will not be held responsible for any charges incurred by vendors. All charges are the sole responsibility of the company hosting the affiliate event.

Any changes to Affiliate Function requests must be made in writing and submitted to Jamie Barbera, ASCRS•ASOA Exhibits Manager, at jbarbera@ascrs.org

All marketing materials promoting any affiliate function, educational or promotional event must be sent to ASCRS•ASOA for approval. You are allowed one sign at the entrance to your function.

Certificate of Insurance for Exhibitor Appointed Contractors (EACs) 

THIS INFORMATION IS REQUIRED FROM YOUR EAC ONLY. 

The EAC authorization is available the Service Kit.  See below for COI information:

A complete listing of preferred contractors for ASCRS•ASOA is available on this website. An exhibitor appointed contractor (EAC) is a company other than the general or official service provider on the show that requires access to a booth during installation and dismantling. The EAC may only provide services in the facility that are not designated by the facility as exclusive to a designated provider, or by the show organizer in a contract as an exclusive service for the general or official service provider or other 3rd party. No EAC will be allowed to work in an Exhibitor’s booth if this Notice of Intent to Use EAC, a valid Certificate of Insurance and the Agreement and Rules and Regulations between GES and the EAC is not completed by an authorized representative and received by ASCRS•ASOA by the February 23rd. This Notice of Intent to Use EAC must be completed for every third party (as well as any other third party ordering or requesting services from GES on behalf of Exhibitor) at the above show. Please submit a form for an EAC company you plan to hire which are not listed below:/strong>

Required information to be included in your certificate of insurance:

  1. PRODUCER: Insurance Agent / Broker who issues certificate.
  2. NAME OF INSURED: Must be the legal name of contracting party.
  3. TYPES OF INSURANCE: Must include types required by contract.
  4. FORM OF COVERAGE: Must be "occurrence" form of coverage.
  5. NAME ADDITIONAL INSUREDS: Global Experience Specialists, Inc. (GES) (Official Service Provider), ASCRS Annual Meeting (Show) and Walter E. Washington Convention Center (Facility) as additional insureds on a primary and non-contributory basis.

Exhibitor Registration

Exhibitor Badge Registration is now open. Click here to register.  This is also available in your Exhibitor Dashboard.

Exhibiting company will qualify for (6) complimentary exhibitor personnel badges per 10x10 (100 SF) exhibit space. Each additional badge (over allotment) will cost $180.00.

Exhibiting companies at ASCRS Glaucoma Day, ASCRS Refractive Day & Cornea Day will receive (2) complimentary exhibitor personnel badges, per table top exhibit space. Each additional badge (over allotment) will cost $180.00

Complimentary badges that are not assigned prior to the show date can be claimed on site at no charge. Once your company badge allotment has been fulfilled, the above charges will apply. Payment is due at time of processing.

Badges can be obtained at Exhibitor Registration at the convention center by either the company’s designated booth contact or the individual listed on the badge. Everyone must show their photo ID to pick up their badge. 

There is no exhibitor registration deadline. You may continue updating your badge requirements/allotment until the time they are picked up on-site.

Changes to a badge after it has been printed will result in a non-refundable charge of $180.00.  Replacement of a lost badge will result in a non-refundable charge of $180.00 

Payment for the above is required at the time of request. ASCRS•ASOA accepts American Express, Discover, MasterCard, VISA. The registration staff will not invoice for replacement badges, payment is due at time of processing.

The registration database is “live” and changes can be made up until the time the badge(s) are picked up/printed at the Exhibitor Registration Desk on site.

Exhibitor badges will not be issued to any practicing physician, nurse, or technician who has not registered for the meeting as an attendee in the appropriate category.

ASCRS ASOA Exhibitor badges will grant you access to ASCRS & ASOA sessions however you cannot claim any CME credits.

ASCRS Subspecialty Day badges do not cross over to ASCRS & ASOA.

Eye surgeons and the ophthalmic industry give sight every day through their innovative work and contributions. And some go above and beyond, delivering humanitarian eye care to those most in need. The ASCRS Foundation Give Sight Wall of Generosity at the 2018 Annual Meeting will be an eye-catching display honoring those who give back, and the ASCRS Foundation programs they help with their philanthropy. This unique location will allow attendees to interact with photos of patients in need, and add their selfie to the “Faces of Generosity” portion of the wall when they make a charitable gift during the meeting.

HALL OF FAME LOUNGE

The newly redesigned ASCRS Ophthalmology Hall of Fame Lounge located in the Exhibit Hall, will display inventions, memorabilia, photographs, and other items representing the accomplishments of our inductees. The ASCRS Ophthalmology Hall of Fame Lounge will be open from April 14–16, 2018 from 9:00 AM - 5:00 PM in Washington, DC during the ASCRS•ASOA Annual Meeting. We urge you to take a break from your hectic schedule and take the time to contemplate where ophthalmology has come from, and perhaps glimpse where it will go as you view it standing on the shoulders of giants.

The ASCRS Ophthalmology Hall of Fame was created by ASCRS in 1999 to honor pioneers in an ongoing celebration of their distinguished careers and contributions. The physicians selected for this honor are chosen by their peers—more than 30,000 ophthalmologists in the U.S. and abroad. We salute all those who supported, inspired, and carried on their work in the past and those who will do so in the future.

ASCRS has inducted many individuals into the ASCRS Ophthalmology Hall of Fame—individuals whose contribution to the field have shaped the way modern ophthalmology is practiced. These pioneers laid the foundation for the use of lasers and intraocular lenses, developed and advanced the knowledge and treatment of glaucoma, trained thousands of ophthalmologists who practice throughout the world, and developed institutions that will continue ophthalmic research for years to come.

Modern medical science largely represents the accretion of knowledge gained over the centuries. Every so often a truly gifted person comes along who, by genius, hard work, and exceptional talent makes a seminal contribution that measures progress in a giant stride. The ASCRS Ophthalmology Hall of Fame recognizes the contributions of those men and women whose life's work has been marked by such accomplishment. Since its inception, 55 scientists and physicians have been recognized.

 

Industry Spotlight Theater

In an effort to increase exhibit hall traffic, ASCRS•ASOA will once again schedule a series of corporate-focused (non CME) educational sessions in the exhibit hall. These sessions will provide attendees with overviews and comparisons across several different ophthalmic product categories.The ASCRS Programming Committee will select a variety of topics of interest to attendees and will work with selected exhibitors to schedule product-specific presentations. 

A preliminary timeline is posted below.  Session topics will be published in the coming weeks.

The Walter E. Washington Convention Center and ASCRS•ASOA will offer food stations of many different concepts during the lunch break: Saturday, April 14-Monday, April 16, in the Exhibit Hall, as well as various offerings in the Downtown Food District on the Concourse Level and the Uptown Food Court on the 2nd Level.  From domestic classics like bbq, deli, pizzas and burgers to International favorites such as Mediterranean, Asian and Italian… we will have something for everyone.

Re-Fresh & Re-Charge Lounges

Throughout the meeting – from Saturday, April 14-Monday, April 16, all attendees can visit the Re-Fresh and Re-Charge Lounges in the Exhibit Hall. The Lounges offer attendees the chance to recharge their tablets, cell phones and other devices while relaxing and networking with colleagues in between education sessions. The Lounge will also offer complimentary flavored ice water stations.

 

Shuttle Bus Schedule 

ASCRS•ASOA will provide shuttle service to and from designated hotels to the Walter E. Washington Convention Center.

ASCRS Foundation Run for Sight

Sunday, April 15
6:30 a.m.

Join us for the 6th Annual ASCRS Foundation Run for Sight, co-sponsored by Shire.

This event will bring together ASCRS delegates, their families and citizens of Washington, D.C. to raise money for the ASCRS Foundation. All funds raised for the ASCRS Foundation, more than $91,800 over the past five years, go to benefit the Foundation's ongoing humanitarian programs in Ethiopia and the United States.

ASCRS attendees and all participants will receive a runner shirt with their Run for Sight registration.
